Welcome & invites

Welcome messages

Greet every new member with a Regular, Embed or Components welcome message, give them roles on join, and add random greetings, buttons and role menus.

More with Premium Open in dashboard Updated Oct 24, 2026
On this page

A welcome message is the first thing a new member sees from your community. The bot posts it in your welcome channel the moment someone joins, filled in with their name, your member count and anything else you like. You can also hand every new member up to five roles automatically. The message editor has a live Discord-style preview, so you see exactly what new farmers will get before you save.

Before you start#

Permissions needed

In the Welcome Channel the bot needs View Channel and Send Messages (Send Messages in Threads if you pick a thread).

  • The Embed style also needs Embed Links.
  • New Member Roles, role buttons and role menus need Manage Roles, and the bot's own role must sit above every role it hands out.
  • A Components message that shows your Premium Welcome Image card also needs Attach Files.
  • An Open a support ticket button uses the ticket system, which needs Manage Channels.

Create the channel first. Most servers use #welcome and keep it read-only for members, so the greetings don't get buried. If you want to point people at your rules, have a rules channel ready too.

  • Bots that join never get a welcome message or New Member Roles.
  • If a channel or role is missing from a list, run /setup in Discord, choose Update Channels and Roles for Website, then reload the page.

Set it up#

Open Welcome messages in your dashboard

It's under Welcome in the sidebar.

Pick your channels and roles

In Discord Bot Welcome Settings, choose your Welcome Channel. Optionally pick a Rules Channel (for the {rules} placeholder) and up to five New Member Roles. Click Update Bot Settings.

Choose a message style

In Welcome Message Format, under Choose a message style, pick Regular, Embed or Components (see Message styles).

Start from a sample (optional)

Pick one in Start from a sample and click Use This Sample. It replaces what's in the editor, but nothing is saved yet.

Write your message

Type in the Welcome Message box (Regular and Embed), or add blocks under Build your layout (Components). Use the Insert tools above it to add text styles, placeholders, role mentions and channel links where your cursor is.

Add greetings (optional)

In Greetings, list a few opening lines, one per line, and put {greeting} in your message. Each new member gets one at random.

Choose extra options

Set Auto delete. For Components, also check Who gets notified.

Check and save

Look at How it looks in Discord, fix anything listed under Before you save, then click Save Message Template.

Open welcome settings

Two save buttons

The channels and roles at the top save with Update Bot Settings. The message itself saves with Save Message Template at the bottom. Changing one doesn't save the other.

Settings explained#

Discord Bot Welcome Settings#

SettingWhat it doesDefault
Welcome ChannelWhere the welcome message is posted. Leave it on Disabled - Select Channel to Enable to turn welcome messages off.Disabled
Rules ChannelThe channel the {rules} placeholder links to. New Jump to a channel buttons start on this channel too.Disabled
New Member RolesEvery role picked here is given to new members as soon as they join. Pick up to 5. Click the box to add a role, or the × on a role to remove it.None

If you've never saved a message template, the bot still greets people in the Welcome Channel with Welcome {user} to {server}!.

Message styles#

StyleWhat members seeLength limit
RegularPlain chat text. Quick and simple.2,000 characters
EmbedYour text in a colored box with the member's avatar on the right and the time at the bottom. The color is your server's embed color from Bot settings.4,096 characters
ComponentsDiscord's newer message layout: cards with text, thumbnails, dividers, image galleries, buttons and role menus.40 components and 4,000 text characters per message

Placeholders get longer when they're filled in (a long server name or username), so leave some room under the limit. The counter under the text box shows how much you've used.

Message options#

SettingWhat it doesDefault
Start from a sampleLoads a ready-made message or layout into the editor. Regular and Embed have 4 samples, Components has 7 (8 with Premium).—
Insert toolsButtons that add Text styles (Bold, Italic, Underline, Strike, Spoiler, Code, Link, Big Heading, Heading, Small Heading, Small Text, Quote, List), Placeholders, and role mentions or channel links (Insert a role mention…, Insert a channel link…) at your cursor. Adding to: shows which box they go into. Hover a placeholder to see what it becomes.—
GreetingsUp to 50 opening lines, one per line. {greeting} is replaced by one of them at random for each new member. Greetings can use other placeholders, like {displayname}. Works with all three styles.5 starter lines
Auto deleteKeep the message (don't delete it), or delete it after 1 minute, 5 minutes or 10 minutes. Handy for busy welcome channels.Keep the message
Preview asType a name to see how the message looks for a member with that name. The shuffle button shows another greeting.NewFarmer

The auto delete timer runs inside the bot. If the bot restarts before the time is up, that welcome message stays and you'll need to delete it yourself.

Who gets notified#

This section only shows for the Components style.

SettingWhat it doesDefault
Ping the new memberThe new member always gets a notification when the message posts. If your layout doesn't use {user}, a small @mention of them is added at the top (it counts as 1 component). Untick it and mentions of them don't notify. On
Mentioned rolesWhether {role:ID} mentions notify that role.On
@everyone / @hereWhether {everyone} (or a typed @everyone/@here) notifies everyone.On

Unticked mentions still show in the message. They just don't send anyone a notification.

Regular and Embed pings

In a Regular message, mentions notify as usual. Mentions inside an Embed never send notifications, so an Embed welcome doesn't ping the new member. Use Regular or Components if you want them pinged.

Before you save#

The checklist under the preview catches problems before they reach Discord. Click an item to jump to it. It warns you when:

  • the message is empty, or over Discord's character limit;
  • a Components layout has no blocks, a card is empty, or a text block has no text;
  • a button has no label or emoji, a link doesn't start with https://, or a channel jump, role button or private reply isn't filled in;
  • a role menu option has no label or no role;
  • an emoji isn't a single emoji or a custom one like <:name:id>;
  • an image link doesn't start with https://;
  • the layout goes over 40 components or 4,000 text characters.

Components blocks#

A Components message is a stack of blocks shown top to bottom, exactly like the preview. Put blocks inside a Card to get the colored box, or leave them outside to show above, between or below cards. Open What does each block do? in the editor for a quick reminder.

Each block has buttons to fold it away, Move into the card above, Move out of this card (below it), Move up, Move down, Duplicate and Remove.

Card#

A colored box that groups blocks together. Add blocks inside it with the buttons at the bottom of the card. A card needs at least one block, and cards can't go inside other cards.

OptionWhat it does
ColorThe card's edge color. Tick Use server embed color to use the color from Bot settings.
Spoiler (whole card blurred until clicked)Hides the whole card behind a spoiler.

Text / Section#

Text with styles like headings and bold. Add up to 3 text boxes with Add text box.

OptionWhat it does
Show on the rightNothing, a Thumbnail image, or a Button. A side item turns the block into a Section: 1 to 3 text boxes with one item on the right.

Divider / Spacer#

A line, or just empty space, between blocks. Untick Show divider line for empty space, and choose Small spacing or Large spacing.

Button Row#

Up to 5 buttons side by side. Each button has a Label (up to 80 characters), an optional Emoji, and a Disabled (shown greyed out, can't be clicked) option. When clicked sets what it does. Buttons that don't open a link also have a Color: Blurple, Grey, Green or Red.

When clickedWhat happens
Open a website linkOpens your Link URL (must start with https:// or http://). Link buttons are always grey in Discord.
Jump to a channelTakes the member to the Channel you pick. Always grey, like a link.
Give / remove a roleClicking adds the Role, clicking again removes it. The bot replies privately to say what changed.
Send a private replyShows your Private reply only to the person who clicked (up to 2,000 characters). Placeholders work here and describe the person who clicked.
Open a support ticketOpens the ticket system's Create Ticket form for the member who clicks.

Role Menu#

A dropdown where members pick roles for themselves. Picking a role they already have removes it. The bot replies privately with what was Added, Removed or Couldn't update.

OptionWhat it does
PlaceholderThe grey text shown before anything is picked (up to 150 characters).
Min picks / Max picksHow many options a member can pick at once.
OptionsUp to 25. Each has a Label (up to 100 characters), an optional Emoji and Description (up to 100 characters), and the Role it toggles.

New options start with no role picked, so you choose each role on purpose.

Shows 1 to 10 images in a grid. Each Image can be Image from a URL (PNG, JPG, GIF or WEBP), the New member's avatar, the Server icon, the Server banner, or (Premium) your Welcome Image card. Each has optional Alt text and a Spoiler (blurred until clicked) option. A Section thumbnail offers the same image choices. A server icon or banner your server doesn't have is just left out.

Welcome Image File (Premium)#

Attaches your Welcome Image card as a file (welcome-card.png) members can download.

What counts toward the 40 components

Each card, text box, divider, gallery and file counts as 1. A side thumbnail or button adds 2. A button row counts 1 plus 1 per button, and a role menu counts 2. With Ping the new member on, 1 is kept free for the ping line. Components used under Add a block keeps track for you.

Anyone can click a welcome button

Every member who can see the welcome message can use its role buttons and role menus. Only put roles there that anyone may have. Never add staff or admin roles.

Placeholders#

Use these in the message, greetings, text boxes, button labels, private replies, role menu text and image URLs. Words in {curly brackets} are swapped for the new member's details when they join.

Welcome to Green Acres FS25, @Alex. Everything you need to get started is one click away.

Start here
Read the server rules, check out the website, or ask the team for help.

📜 Rules 🌐 Website 🙋 Need Help?

Joined just now • Enjoy your stay in Green Acres FS25.

When someone clicks Need Help?, only they see the reply:

Need a hand, {username}? Ask in any help channel or mention a staff member and we'll get you sorted.

Role picker (Components)#

The Role picker sample adds a Role Menu with three empty options. Pick a role for each one. A good setup for a farming community:

Option labelEmojiDescriptionRole
FS25🚜Farming Simulator 25 players@FS25
Console🎮Xbox and PlayStation farmers@Console
Events📅Get pinged for farm events@Events

Set Max picks to 3 so members can take all three at once. Picking a role again removes it.

Premium#

With Premium you can show your Welcome Image card inside a Components message: pick Welcome Image card (premium) as an image in a gallery or thumbnail, add a Welcome Image File block, or load the Welcome Image card inside a card (premium) sample. The bot draws the card for each new member and attaches it to the message. If Premium ends, the card is simply left out. Everything else on this page is free.

Troubleshooting#

When a welcome can't be posted, the bot writes the reason to Bot Error Logs on your dashboard's main page. Check there first.

Nothing is posted when someone joins#

  • Make sure a Welcome Channel is selected and you clicked Update Bot Settings.
  • Welcome Channel with "The welcome channel was deleted, is not a text channel, or the bot cannot see it": pick the channel again and save.
  • Welcome Channel with "Unable to send messages in server channel.": give the bot View Channel and Send Messages there (and Embed Links for the Embed style), including channel overrides.
  • Welcome Message with "The saved welcome message has nothing to send": write a message (or add blocks) and click Save Message Template.
  • Welcome Message with another message: that's Discord's own reason, for example an image link it couldn't load or an emoji it refused. Fix it and save again.
  • Bots never get a welcome message. Test with a real account.

New members don't get their roles#

  • The bot needs Manage Roles. Without it, Bot Error Logs shows New Member Roles with "Unable to manage roles in server."
  • The bot's role must be above each role in Server Settings > Roles. Roles above it are skipped without an error.
  • If you deleted a role in Discord, pick your roles again and click Update Bot Settings.

New members don't get a notification#

  • Use the Regular or Components style. Mentions inside an embed never notify.
  • For Components, tick Ping the new member under Who gets notified.

A role button or menu doesn't work#

  • "I wasn't able to update that role. The owner of this server has been notified." means the bot lacks Manage Roles or the role is above the bot's role. Bot Error Logs shows Welcome Message Role Button or Welcome Message Role Menu with the role's name.
  • "That role no longer exists." means the role was deleted. Pick another and save.
  • "This button is no longer available." or "This menu is no longer available." means the button or menu was removed from your saved layout (for example after loading a sample) since that welcome message was posted. Newer welcome messages work.

Saving shows an error#

The message names the block that needs fixing, like "Card 1, Block 2: a text block needs 1 to 3 text boxes with something in them". The Before you save list catches most of these first.

{rules} shows nothing#

Pick a Rules Channel at the top of the page and click Update Bot Settings.
